AI automation
AI automation for businesses
Every business has work that is done the same way every day: logging an enquiry, preparing a quote, sending a reminder, copying data from an email into a spreadsheet, chasing a customer who hasn't replied. It doesn't need judgement. It needs time, and that time comes from someone on your team.
An AI automation does that work on its own, connected to the tools you already use. You set the rules; the system follows them at any hour and never forgets. SolAI designs, builds and maintains them for businesses in Marbella, Málaga and across the Costa del Sol.

What can be automated
Almost everything that is done today by copying, forwarding or remembering. These are the cases we build most.
- Enquiries that log themselves
- Every WhatsApp message, email or form arrives classified, with the data extracted and saved in your CRM. Nothing to copy.
- Quotes and proposals
- From the enquiry, the system prepares the quote with your rates and terms and leaves it ready to review and send.
- Follow-ups that never get forgotten
- Whoever hasn't replied gets the next message at the right moment, in the tone you choose. You only step in when they answer.
- Appointments and reminders
- Bookings in the right calendar, confirmations, reminders and changes handled without phone calls.
- Documents and invoicing
- Documents collected in order, data extracted from invoices and delivery notes, due-date alerts.
- Reports and internal alerts
- Daily summaries of what happened, alerts when something is out of the ordinary, data from several tools in one place.
Connected to what you already use
A useful automation doesn't live in a new tool nobody opens. It lives inside your CRM, your email, your WhatsApp, your invoicing software or your calendar. So the first thing we do is look at what you use and how. Then we build on that.
And where a fixed rule can't reach, the language model steps in: understanding a message written any which way, pulling out the data that matters, drafting a reply in your tone. AI doesn't replace classic automation; it makes it able to deal with people.
How we build it
- 01 · Map
- We follow the real process end to end, with the person who does it every day. We see where time is lost and what can go.
- 02 · Build
- One concrete automation first, the one that returns most. Integrated, tested with real cases, with a person in charge.
- 03 · Implement
- We train the team, measure how much time it saves and extend to the next one. The system grows with the business.
Automations by sector on the Costa del Sol
- Estate agencies
- Portal and website leads logged and qualified automatically, instant replies in the buyer's language, viewings in the agent's calendar.
- Hospitality
- Bookings, changes and frequent questions handled without tying up the team; guest communication before and after the stay.
- Clinics and aesthetics
- First appointment, reminders, treatment follow-up and answers to the usual questions.
- Law firms and advisers
- Documents collected in order, deadlines watched, repetitive queries answered, unresponsive clients chased.
- Property managers
- Incidents classified and assigned automatically, notices and meeting calls, owner communication in several languages.
- Services and retail
- Quotes, job sheets, order status and after-sales automated end to end.
What already runs
Aiasemu, our own garden-services business in Estonia, is a complete example: the customer types their address, AI measures the plot from the satellite photo and gives a price in seconds; operations, QR-code invoicing and the field crews all run on the same automations. It's proof that we build what we propose.

What people usually ask us before automating.
What's the difference between automation and AI?
Classic automation follows fixed rules: if this happens, do that. AI adds the part rules can't cover: understanding a message written any which way, extracting data, drafting a reply. We almost always use both together.
Do I have to change my CRM or software?
Usually not. We connect to what you already use. We only recommend switching when the current tool is the bottleneck, and we'd tell you before starting.
What if the automation gets it wrong?
It's designed with a person in charge: anything with consequences (sending a quote, confirming an appointment) goes through review until the system proves it gets it right. Then it's given more autonomy, step by step.
Where do you start?
With the task that takes most time and needs least judgement. One, working well, is worth more than ten half-done. The free audit usually points to it.
What about the data?
It's handled under the GDPR, with data-processing agreements with every provider and without using your data to train third-party models. We explain which data goes where before we build.
Who maintains it afterwards?
We do, if you want. Implementation includes team training, usage monitoring and improvements. A system nobody watches stops being used; that's why we don't leave it alone.
